Let the assistant book the appointment
Set your working hours once and the assistant takes bookings in chat and on the phone, in your customer's language, without ever handing the same slot to two people. It reminds them 24 hours and 1 hour before, and asks how it went afterwards.
Taking bookings in three steps
- 1
Set your hours
Open days, start and end time, appointment length, how far ahead people may book, and your timezone. One setup per project.
- 2
The assistant books
In a WhatsApp thread, a website chat or a phone call, it offers a free slot and confirms it. The slot is taken the moment the booking lands.
- 3
It follows up
A reminder 24 hours before, another an hour before, and a review request after the visit, all on the channel the customer used in the first place.
What appointment booking gives you
Your working hours, your rules
Open days, slot length, earliest and latest bookable day and timezone. The assistant never offers a slot outside them.
Books on any channel
WhatsApp, Instagram, Messenger, Telegram, email or your website chat, all writing into the same calendar.
Books on the phone too
The voice agent takes the booking during the call, so a caller after hours becomes an appointment instead of a missed call.
No double bookings
A slot is locked in the database the instant it is taken, so two customers booking in the same second cannot both walk away with it.
Reminders and a review request
24 hours before, one hour before, and a follow-up after the visit, delivered on the channel the customer booked from.
Manage them in the panel
See the list, confirm, reschedule, cancel or mark a no-show. Cancelling frees the slot for someone else straight away.
A timezone per project
Each project keeps its own working hours and timezone, so a second branch or a second market does not need a second account.
Your own calendar stays in sync
Booked, reminder, review, cancelled and rescheduled all fire as webhooks, so whatever system you already run can mirror every change.
Frequently asked questions
- Do I need Google Calendar?
- No. Bookings live in TalkOmni and you manage them from the panel. If you already run your own calendar, mirror them with the appointment webhooks instead.
- Can two people book the same slot?
- No. The slot is locked by a database constraint at the moment of booking, so when two bookings race for the same time there is exactly one winner and the other is offered a different slot.
- Can it book during a phone call?
- Yes. The voice agent takes the booking on the call, in the caller's language, and it lands in the same calendar as the chat bookings.
- What happens when someone cancels?
- The appointment is marked cancelled, the slot is freed for someone else immediately, and a cancellation webhook fires so your own system can follow.
- How are reminders sent?
- On the channel the customer booked from, 24 hours and 1 hour before the visit, plus a review request afterwards. A channel with no way to push a message, such as the website chat widget, is skipped, but the webhook still fires so you can reach them your own way.
- Can I keep using my own booking system?
- Yes. Either keep booking on your side and expose it to the assistant as a gateway action, or let TalkOmni book and mirror everything into your system with the webhooks.
